Is Ava "HIPAA certified"?
No — and no honest vendor will say they are. There is no such thing as HIPAA certification. HIPAA (the Health Insurance Portability and Accountability Act of 1996, enforced by the U.S. Department of Health and Human Services) sets national standards for protecting patient information. What matters is whether every company that touches patient data has signed a Business Associate Agreement (BAA) — a legal contract requiring them to protect it.
Today, what you're seeing is a demo environment. Ava is demonstrated with invented names and numbers, and no real patient records are stored anywhere in the system.
What does Ava collect?
What she keeps
- Caller's name and phone number
- Email, if the caller offers one
- What they're seeking help with, in their own words
- Requested service (consultation, callback)
- Whether they were sent the intake form link
What she never does
- Never asks for diagnoses, medications, or health history
- Never records clinical notes or writes to your EMR
- Never puts health details in a text message
- Never gives medical or legal advice
- Never claims to be a licensed professional
If a caller starts describing a health situation, Ava listens with care and routes them to your licensed intake team by phone. Her job is scheduling and information — not treatment.
What happens before a live launch?
When a clinic signs on, we configure the healthcare version of Ava specifically for them:
- Patient details live in your CRM, not ours. Callers are created as contacts in your GoHighLevel account, which is covered by its HIPAA add-on.
- The voice platform signs a BAA. We run live calls on a platform that executes a Business Associate Agreement at no extra cost, and we get it in writing before your first real caller.
- Our dashboard shows counts, not charts. Call volume, talk rate, and forms submitted — no patient-identifiable summaries.
- You get a BAA from us. TGN Growth Engineers signs a Business Associate Agreement with your clinic, reviewed by a compliance professional before launch.
Who signs what?
| Piece of Ava | Will they sign a BAA? |
|---|---|
| Texts, contact records & caller details (your CRM) | Yes — covered by your GoHighLevel HIPAA add-on |
| The live voice platform (healthcare version) | Yes — BAA executed before launch, no extra fee |
| This widget & dashboard | Yes — TGN signs a BAA directly with your clinic |
| Talking-avatar video (demo version) | Not for healthcare — the live version uses a photo with voice only |
Your rights, your callers' rights
Under HIPAA, your patients have the right to see and copy their records, request corrections, and receive your Notice of Privacy Practices. Ava supports that: she doesn't hold clinical records, she simply connects people to your intake team, who handle all private matters by phone. Ava can text general information only — office address, hours, and your secure intake form link.
The bottom line
What you're demoing today is a safe, honest preview built with fake data. When you're ready for real patients, the healthcare version keeps the same friendly experience — and puts every agreement in place first: your voice platform's BAA, your CRM's HIPAA mode, and our signed agreement with your clinic. No shortcuts, no fine print surprises.
